Folders

Folders organise related processes or documents in Emakin. Use them when you want to start a process, browse grouped resources, or open a document area that belongs to a business function.

Starting a New Process

After selecting a folder from the navigation menu, Emakin lists the processes you are allowed to start from that folder.

Available processes in a folder

To start a process:

  1. Open the relevant folder.
  2. Review the processes shown in the workspace.
  3. Select the process you want to start.

Result: A new process instance opens in the workspace.

Note: Some processes may be hidden because they are disabled or because you do not have permission to access them.

Managing a Folder

The folder toolbar is visible when you have Write access to the folder.

New Folder
Creates a child folder inside the current folder.

Edit
Changes the folder name.

Permissions
Defines who can access the folder and at which level.

Delete
Deletes the current folder and its child folders.

Warning: Deleting a folder removes the related processes and tasks from the system. If you only want to hide a folder from users, review its access control settings instead of deleting it.

Permission Levels

Read
Allows users to see the folder, its contents, and start tasks.

Execute
Allows operational actions normally available to process administrators.

Write
Allows users to reach the process design screen and make changes.

All
Includes Read, Execute, and Write permissions.

Access Control Details

When editing folder permissions, you can define:

  • Security Profile: the access-control group used for the permission
  • Identity: the user, unit, position, or group affected
  • Type: whether the rule allows or denies access
  • Begins At: an optional start date for the rule
  • Expires At: an optional end date for the rule

Note: Folder permissions are often maintained by administrators or power users. If you only need to start work, you usually do not need to change these settings yourself.

Dashboard and Report

Some folders provide dashboards or reports designed for a specific process.

Dashboards summarise important data visually and give a quick overview of the running process.

Report

Reports show detailed process information and can often be exported to Excel after choosing the required criteria.
