Reports

Reports let you examine process data in a table without opening each process instance. A report is configured by the process owner, so the available tables and fields depend on the process.

Opening a report

  1. Open the process folder.
  2. Select Reports in the folder toolbar or navigation menu.
  3. Select the report you want to view.

If the report is not listed, you may not have access to the folder, the report may be restricted to administrators, or the report may not be available in the active process version.

Working with the data

The report grid loads data as needed. Depending on the fields configured by the process owner, you can:

  • filter text, number, and date columns;
  • sort one or more columns;
  • move columns and resize them;
  • group rows by a field;
  • create a pivot view;
  • calculate supported totals, counts, averages, minimums, or maximums; and
  • open the chart view when charts are enabled for the report.

These actions change your current view of the data. They do not change the process data or the report's underlying query.

Choosing a view

Some reports provide named views in the report toolbar. A view is a layout prepared by the process owner, such as a summary view or a detail view. These views are also called report templates. Select a view to restore its column visibility, order, grouping, sorting, aggregation, and pivot settings.

For example, a Detail view may show one row per record, while a Summary view may group rows and show totals. Selecting a different view does not change the process data or the report definition.

The available views and fields are defined by the report owner. You cannot add database fields that are not included in the report. In a process report, you also cannot save, rename, or delete templates. If you need a different standard view, contact the process owner.

Understanding missing data

A report can intentionally show fewer rows or fields than the underlying process database. Common reasons include:

  • a fixed filter in the report definition;
  • restricted access to the process or folder;
  • fields that were not exposed by the process owner;
  • values that are empty in the source data; or
  • the selected grouping or pivot configuration.

If the report itself is missing, contact the process owner or administrator. If a particular value looks incorrect, provide the report name, filters, and selected view when reporting the problem.
