Organization Database Designer

Use Organization Database Designer to update the domain's organisation structure. This page is where administrators define organisation units, positions, users, and the relationships between them.

Typical Workflow

  1. Review the current organisation chart and the items listed in Others.
  2. If needed, start from an organisation unit template.
  3. Add or edit organisation units, positions, and users.
  4. Drag and drop items into the chart to build the required relationships.
  5. Save the updated structure and re-check the resulting hierarchy.

Main Areas of the Screen

The page is organised around four main areas:

  • Organization Unit Templates for loading a predefined organisational structure
  • Organization and Chart for displaying and editing the current structure
  • Others for positions and users that are not yet placed in the chart
  • Search for locating units, positions, or users already shown on the chart

Organization Unit Templates

An organisation unit template provides a starting point for a new organisational structure.

When you load a template, Emakin displays the predefined schema on the chart so you can customise it. Using a template replaces the existing organisational schema after you save, so it should be used carefully.

Warning: Applying a template can overwrite your current structure definitions after saving.

Organization Schema

The chart displays the active organisational structure.

The Others column on the left is useful for creating positions and users that will be assigned later, although you can also create them from the edit tools of an organisation unit or position.

You can drag and drop items into the chart to create relationships. For example, you can drag a position into an organisation unit or a user into a position.

Organization Unit

Organisation units provide the hierarchical company structure. Only one root organisation unit can exist, and it represents the company or top-level organisation above all departments.

Selecting an organisation unit opens its edit tools.

Available properties:

Name
Name of the organisation unit.

Code
Code of the company or department. This is mainly required for integration scenarios.

Disabled
Used to disable the unit.

The unit tools let you add child units, add positions, edit the unit, disable it, or delete it.

Position

A position is a role definition to which one or more users can be assigned. A position can be used under multiple organisation units.

The white icon beside a position name indicates that the position is the manager of its department.

Selecting a position opens its edit tools.

The following properties can only be changed from the Others column edit action:

Name
Name of the position.

Code
Code of the position. This is mainly required for integration scenarios.

The following properties are changed from the position tools inside the chart:

Organization Unit
The organisation unit the position belongs to.

Manager
The manager assigned to the position.

User

You can create a user from Add New User in the Others column or from the edit tools of a position.

Selecting a user opens its edit tools.

User tools for editing, disabling, or deleting a user from the organization structure.

From this menu you can edit the user properties, disable the user, or delete the user.

Use the search bar to find units, positions, or users already shown on the chart.
